Welcome to Hair Fair 2013 (13th July – 28th July) Following are the rules that will be very important in the application process for this year’s Hair Fair in Second Life. These rules are adapted from previous rules, but please read over them carefully before you continue, as your application will be an agreement to follow them until the event ends on the 28th of July 2013. If you do not understand any of it, please do not hesitate in contacting a member of the committee to help you. We need to be very sure that there is no confusion as refunds are not possible. Setting up of the booths must be done by midnight of the 10th of July ( this means you have all day and night of the 10th, as well as the days leading up to that date once the sims are available to us ) . This gives the committee the opportunity to check each vendor and booth is compliant with the rules set out. To make sure that this is done as promptly as possible, this year the sims will be CLOSED to all but committee members at midnight giving them the 11th to do so. Then the evening of the 11th will be open again ONLY for the Designers and VIPs party, and then opened on the 12th for Bloggers/Press Day.
All information, charity scripts, and booth sizes will be provided well in advance, the sims will of course also be open for days before the 10th to set up your booth. The closing of the sim is necessary to make sure that all the extra things that need to be set out by committee and for the event, are in place, so that the event runs as smooth as possible. If we find any issues with booths and/or vendors, we will notify the stores and they can fix them when the sim is re-opened to the group in the evening.
If a booth is not set up at this time, it will be removed, this is to ensure we have no holes or missing stores when open to the VIPs and then later the Bloggers/Press, as it is necessary to only have the stores that will be participating included.
A lot of work is involved in making sure all maps, textures, signage and information provided is accurate. As soon as the committee has done all that needs to be done, checked all the stores, and the event is ready to be opened again, we will open it for the Designers and VIPs. This will happen as early as we can do so, because we know timezones for each differ. In the application we will also ask for the hours in SLtime that you are usually online, so that we can better contact you if need be.
Applications must be sent in by the Owners/Creators of the stores applying only. Previous Hair Fair participants are always invited back, but subject to any new rules! They will still have to fill in the application form and send it in. If you have re-branded your store, please make sure to include that information so that records can be changed. All applications will be done by email, all email addresses will be kept private and only seen by one member of the committee.
Your store/brand must have existing hairstyles for sale at time of application. Certain creators may be been hand picked by the committee to launch a hair range at Hair Fair. Aside from these few exceptions, only applicants with existing hair designs in store will be considered.
You must provide the name of your business partner (if you have one) at the time of application. This person will be the only other person allowed early access to the event grounds. This name must be a visible/known content creator for your store/brand to be granted access. No names will be added at the time of setting up. The person you add as your partner must not be another store/brand than your own, as sharing of booths by different brands is not allowed.
You and/or your business partner must be the original creator(s) of your designs. If you have created your hair using full perms kits of any kind you will need to provide the information to a committee member to assess the products. Each store is checked by committee members. If there are questionable prims found during these checks it may result in your application being denied.
Anyone granted early access to the fair may not take pictures of the fair booths and/or hairstyles without the express permission of the Committee Members. We take security of this event very seriously to protect all content creators. We want all those who are setting up to feel secure that their soon to be released items wont be seen by the public until they are ready to do so.
15% of all sales at Hair Fair 2013 will be forwarded to Charity. The script you will be provided with must be put into every single pack you will be releasing at Hair Fair 2013. Failure to do so will result in your booth being removed. This event is always a charity event, this year we are raising donations for Wigs for Kids (http://www.wigsforkids.org/). Other amounts will be made available as previously requested, but 15% is the minimum donation.
* Hair Release
You must release 3-5 NEW hairstyles during Hair Fair 2013. These must be completely NEW styles ( they must have never been sold, or used for promotion of any kind in the past ). You cannot set out any other hair for purchase at this event other than your 3 – 5 NEW styles ( this does not include your gift/dollarbie style if you do one ). All hair must be sold in the exact same manner you would sell in your store. You cannot do partial release, or smaller packs, different prices, or colour pack variations. You cannot sell hairbases as a hair item, and any hair that needs a hair base to make it a hairstyle will have to be included in the vendor. You cannot sell hair attachments as a stand alone item, this includes facial hair, as this is not a hairstyle.
The styles must ONLY be available at Hair Fair during the event, and cannot be sold anywhere else. DEMOS may be made available in your store and/or secondary locations and on Marketplace, with clear information guiding customers to Hair Fair 2013 for purchase.
We encourage all stores to provide one Gift/Dollarbie for their store. Only one gift/dollarbie box per booth. If you are going to do male and female then you will need to combine them. The gift/dollarbie box should contain your landmark and any other information and/or gifts you will be giving to promote your brand. Any items in your gift/dollarbie bag must be created by you and your business only, you cannot promote other businesses or brands through your items. Your gift/dollarbie box must not be scripted and it must be set for sale for 0L or 1L maximum. If you wish to donate the 1L to the Charity please contact CharitySasy String or Sasy Scarborough to get that arranged for you. This is a tradition for this event, and even if visitors to the event cannot purchase all the hair, this is a great way to entice them to your brand in the future. It is also something that is often blogged about, and will definitely get attention from people that may not know your brand at that time, by you showing the creativity and quality of your work.
No scripts other than the charity script will be allowed in your booths at Hair Fair 2013, if you use scripted vendors you will need to make non scripted arrangements ahead of time. The charity script will be provided to you in advance of the event. The Hair Fair committee can arrange pose-stands if you require them. You may not put in a script and take it out again to get the scripts effects.
No LM givers, Group Joiners or Subscribers are allowed to have scripts, you may set out a 0L buyable notecard vendor with all that information if you wish to, but including that in your demos, dollarbies/freebies is a better option.
The sims will be accessible at least four days before set up deadline. You will be provided with group access, charity scripts, booth sizes, signage and any information needed to set up ahead of time, and on time.Your booth must be set up by midnight of the 10th of July, this isn’t negotiable. There will be enough time prior to this date to have your items ready for the event. The sims will be closed at midnight for access to committee members only. All of the Hair Fair 2013 hair must be set up, booth completed and charity scripts in place and vendors set to purchase from. This will allow the committee to check all booths, make sure any and all changes needed are done, and to make sure that your charity scripts have been set up correctly. Once all four sims and all stores are checked and everything is as it will appear to the public, the sims will be opened again to Designers and their VIP Guests for the evening of the 11th of July. The 12th of July will be Bloggers/Press access until the opening of Hair Fair 2013 on the 13th of July.
Sculpted displays must be kept at a minimum, due to lag often they will just stay in sphere form, we do not want them to block yours or other peoples displays, entrances or public areas…if an unreasonable use of sculpties is found in your booth, you may be asked to remove them. This is also the same for mesh items, they must not have a bounding box that is greater than the item displayed, and please be sure to check land impact is not greater than the prim allowance you have for your booth.
No textures are to be greater than 512×512 resolution, this is to minimise lag, textures can and will be checked prior to opening.
All items in your booth must be phantom, if the items you use are no mod and you cannot change them to phantom you cannot use them. Booth exteriors must be the same for all. No outside decoration or images are allowed and will be returned if found when setting up. Please use as few textures as possible while decorating the interior of your build to reduce the viewer lag of your customers.
All stores will be given exact locations of their booths in advance of setting up.
* Fees and Charges
An enrolment fee will be charged once application is approved.

Large Booth 5000L (will be larger!)
Enrolment fee is due within 7 days of being approved so that we can add you to the Hair Fair 2013 Designers Group. If payment is not received, your store will be moved to the waiting list, and your place given to someone else. Your booth choice will not be automatically granted, as larger booths are limited. Prim budgets will be provided at a later date. If more prims are needed then you will need to discuss that with the appropriate committee member.
The enrolment fee is not refundable under any circumstances, so please be certain you will be available during the event times. The enrolment fee pays for the sims Hair Fair is held on. If there is any money left over it will be then donated to the charity of choice. By paying this fee you are committing yourself and your brand to the rules and guidelines of Hair Fair 2013.
You will be added to two groups during this event.
Hair Fair 2013 Designers:
This will be the group that will allow you to build in your booth. All notices leading up to and during the event will be sent to this group. It is your responsibility to make sure you are in this group and aware of all notices that occur leading up to and during the event. You will also need to make sure that if you have a partner, that they also have joined the group.
Hair Fair DEMO Group:
ALL stores will send their demos the day before Hair Fair 2013 opens.
This will be a group all of Second Life residents can join and try on the styles in preparation for purchase. The group invites will be sent once we receive your payment for participating in this event. If you are already in the demo group with posting rights, please let us know in your application.
